Action Required: Cryptographic Key Update (Jan 29th – Feb 28th, 2014)

On January 29th 2014, between 9:00 PM and 3:00 AM,  Cisco will be implementing feature and security updates to Cisco WebEx Meeting Center, Training Center, Event Center, Support Center, and WebEx recording URLs. These updates include modifying the way Cisco manages cryptographic keys used to generate URLs that link to WebEx recordings, iCalendar (.ics) files, unlisted program URLs in Event Center, WebACD support queue links in Support Center and links that are used to reset passwords. As a result, existing links that were generated by those services have been updated, and in some cases, users may need to request new links.

These updates are the result of Cisco’s continuing efforts to improve security, and are aimed at reducing risk for their customers. They represent part of their ongoing commitment to provide the latest features and security updates.

What to Expect

The update to your WebEx site(s) will occur on January 29th 2014. However; the service impacts will go into effect 30 days from the date the update is applied to your sites. This period of 30 days is called the “Compatibility Period” and is intended to minimize the potential impacts to users adjusting to the new security settings included in this release.

Cisco is making changes to improve the management of the cryptographic keys to generate URLs used in WebEx Meeting Center, Training Center, Support Center, and Event Center services. This update will invalidate the URLs for previous WebEx recordings and create a new URL for each recording. Other URLs will also be invalidated as a result of this change. Impacts are listed below.

There will be a one-time-only impact to WebEx recording URLs for WebEx Meeting Center, Event Center, Training Center & Support Center.

If you have distributed links to Meetings, Events or Training sessions prior to January 29th, you, as the host,  will have two options:

  1. If you do nothing, the link will still work, but the attendee will need to get the password from your invite to enter the meeting
  2. If you want to update the meeting so that the password will be encrypted in the URL (as it was prior to January 29th), then you must regenerate the URL to your meeting. To do this:
    1. Log into your WebEx site
    2. Go to My WebEx and find your meeting in the list
    3. Click on the topic (name of meeting)
    4. Click the Edit Button
    5. Click the Save button
    6. You will be prompted to send a new invite out, select “All Invited Participants” – even if you are the only invited participant, you will receive an email with the new, updated link which you can then distribute to your participants.

DO NOT MAKE ANY CHANGES PRIOR TO JANUARY 29th OR YOU WILL HAVE TO REPEAT THE ABOVE PROCESS AGAIN.

 

Time Sensitive – Action Required

After Friday, February 28, 2014 , old URLs will become invalid and users clicking on these links will be redirected to a WebEx.com page that provides a form for the user to request the updated URL. Following this recommendation is especially important for recording owners (hosts) with a high volume of popular recorded files and recordings posted or embedded in websites and documents.

WebEx Upgrade to WBS 29.3 (January 21, 2014)

On Tue Jan 21, 2014 between 10:00 pm and 2:59 pm EST, Cisco will be upgrading WebEx services to the new release, WebEx Business Suite (WBS) 29.3.

The following services will be affected:

  • Cisco WebEx Meeting Center
  • Cisco WebEx Training Center
  • Cisco WebEx Event Center
  • Cisco WebEx Support Center

All Cisco WebEx meeting Hosts and Attendees will receive the new version of the Meeting client and Productivity Tools client upon entering a session for the first time.

Problem with WebEx Email Notifications – 1/7/2014

There is an issue with WebEx email notifications when scheduling a meeting Cisco is aware of the issue and is working to resolve it.

This affects the following sites:

WebEx Upgrade (WBS29.2) – Jan 9th, 2014

On Thu Jan 9, 2014 between 10:00 pm and 2:59 pm EST, Cisco will be upgrading the WebEx services to the new release, WebEx Business Suite (WBS) WBS 29.2.

The following services will be affected:

  • Cisco WebEx Meeting Center
  • Cisco WebEx Training Center
  • Cisco WebEx Event Center
  • Cisco WebEx Support Center

The following sites will be affected:

  • http://dukemed.webex.com
  • http://dukeuniversity.webex.com

All Cisco WebEx meeting Hosts and Attendees will receive the new version of the Meeting client and Productivity Tools client upon entering a session for the first time.

Please note:

  • During this maintenance period, all users and visitors will be redirected to the secondary system. While on the secondary system, all Cisco WebEx services will be functioning properly.
  • After we have applied the patch to your site, a New Client will automatically be offered the first time users enter a meeting. The installation of the New Client is automatic and browser restart is not required.
  • Productivity Tools client – The new client will be offered when users launch Productivity Tools for the first time after the patch has been applied.

WebEx Users Hearing Voicemail Announcements?

Over the past months, users on both Duke University and Duke Medicine sites have randomly heard voice mail messages during WebEx meetings. We have been working this issue and changes have been made to the Duke phone system to prevent this from occurring going forward.

If you are on a WebEx call and hear the voice message announcement play, please contact your Service Desk immediately. It is extremely important to report this issue ASAP so the proper data can be collected.

Windows Phone 8 Support Is Now Available

The WebEx App for Windows Phone 8 works with Cisco WebEx Meeting Center to deliver mobile web and audio conferencing. Join, start, and schedule your Cisco WebEx meeting from your Windows Phone 8 Smartphone.

Plans for service redirection are subject to change as it relates to service availability; this may require services to be redirected earlier or later than previously communicated. Cisco WebEx will communicate any time changes to this planned maintenance immediately.

Browser Changes – Joining a Meeting using FireFox and Chrome

The following changes apply the the following sites:

Mozilla and Google recently announced that their browsers will automatically block the Netscape Plug-in Application Programming Interface (NPAPI) beginning on December 10, 2013, for Mozilla Firefox, and January 2014, for Google Chrome. These policy changes apply to all operating systems supported by Mozilla Firefox and Google Chrome.

How This Affects You

Users will need to manually enable plug-ins within these browsers to successfully join WebEx meetings once these changes have taken place. The WebEx meeting will not successfully launch (users will stay on the “Join Meeting” page) until the plug-in has been enabled.

To assist customers with these browser policy changes, Cisco WebEx will be making enhancements to the join meeting flow, to provide instructions on how to enable the plug-in.

When Will This Change Occur?

  • Mozilla Firefox version 26 – December 10, 2013* (Estimated)
  • Google Chrome version 32 – January 2014* (Estimated)

*Browser releases are controlled by Mozilla and Google; Dates are subject to change.

Enabling the Plug-in (after browser update):

Mozilla Firefox and Google Chrome will automatically upgrade to the NEW browser versions when they are made available by Mozilla and Google. Once the user’s browser has been updated:

  • Users must enable the WebEx plug-in separately for each affected browser.
  • Users must enable the WebEx plug-in separately for each WebEx web site.

User Impact:

Google has also announced that support for plug-ins will be completely removed from Chrome by the end of 2014. Cisco is committed to providing a simple and easy way for users to join WebEx meetings, and is currently investing in new, alternative methods to join meetings that do not require the use of plug-ins. We will advise on the recommended alternatives as soon as possible.

On Sat Nov 23, 2013 between 10:00 pm and 2:59 pm EST, Cisco will be upgrading the WebEx services to the new release, WebEx Business Suite (WBS) 29; the following services will be affected:

ENHANCEMENTS Applicable to Meeting Center, Training Center, Event Center and Support Center:

File Sharing

The file sharing functionality has been enhanced:

  • Presenters can now select and share multiple documents to upload at the same time.
  • Progress indicators in the content area and document tabs provide a visible status of the upload progress for all selected documents.

MacOS X 10.5 Support Discontinued

Mac OS X 10.5 will no longer be supported. Users on this OS will see an error message letting them know their browser is out of date. Cisco recommends upgrading users using this legacy OS.

 

ENHANCEMENTS Applicable to Meeting Center, Training Center, Event Center:

Using Multi-monitors

The multiple-monitor user experience has been enhanced. When using video along with desktop, application, or sharing, a prompt will ask if the user wishes to move the video to the secondary screen.

ENHANCEMENTS Applicable to Meeting Center Only

  • Usability enhancements for Productivity tools; e.g. tutorial “bubbles”, collapsible panels, and status indicators.

Language Support

Dutch, European Spanish, Russian and Swedish are now supported on Mac.

 

ENHANCEMENTS Applicable to Event Center Only:

Telephony Conference Tone

The telephony conference entry and exit tone can now be set separately for new Event Center sites. By default, the WebEx Event Center tone will default to off. The “beep” option can be turned to off for Event Center while remaining on for other WebEx products.

Note: The “Entry & Exit tone” option will follow the sites current setting for existing customers.

Hybrid Audio

Hybrid audio is now available in WebEx Event Center. If a site is enabled for Hybrid Audio, the Audio Conference dialogue box will offer the “Use Computer for Audio” option to users when joining a meeting. Supported on Windows and Mac.

Schedule pages have also been updated so they no longer allow “Integrated VoIP” to be scheduled along with an incompatible audio conference type.

 

ENHANCEMENTS Applicable to Training Center Only:

Hybrid Audio Support

New support for partner provided Hybrid Audio is available for WebEx Training Center on Mac. If Hybrid Audio is enabled and integrated for the partners site, meeting hosts and attendees can use “Call Using Computer” when joining the audio conference.
